Information Required

Before selecting any candidates that might be eligible for the position, there is a list of information that is required from all clients. This list is vital to give the Virtual Assistants Ireland team a transparent view of what is required from the VA. Details requested from the client include how many hours a VA is needed for each week, what days they will be needed as well as clarity on if the VA is required to work during standard working hours or outside of these.


Job Description

We will then request a job description from each client which will be used to find the best fit for the position as well as sharing it with the selected candidates. Some clients don’t have the capacity to write up a job description, or may not have any experience in doing so before, when this is the case we will share a template with the client. This job description template is one that can easily be filled out and requires information about their business as well as separate sections covering points such as the role and what type of tasks they would like their VA to undertake.


Candidate Selection

Our team of hiring experts thoroughly go through our database and match the job description with suitable VA profiles which does not only include looking at our team of VAs' skillset but also their availability and experience. Usually, four to five eligible candidates are selected and interviews can then begin to be scheduled.


Interview Process

Once in everyone’s diaries, the interviews can take place and the client can finally get some time to get to know the appropriate candidates. Interviews take place in a virtual setting, ordinarily over Zoom, and are expected to last about 40 minutes. A member of the Virtual Assistants Ireland team is on the calls to make the initial introduction and facilitate the rest of the interview process. Once the interviews have wrapped up, the client is generally in a position to shortlist two of the candidates that they feel really fit with their business needs before honing in on the one they’d like the opportunity to work with.


Service Level Agreement

At this stage, Virtual Assistants Ireland will issue the client with an estimate as well as the service level agreement. Once they're happy to proceed, a client is asked to complete this agreement and are then ready to begin their journey with their new VA.


Billing Process

Knowing that billing might not be everyone's favourite task, the Virtual Assistants Ireland team have tried to keep the entire process as straightforward as possible. VAs are expected to record their hours worked via an app on a weekly basis and at the end of each week, the client will receive these timesheets for approval with any unused hours being carried forward. Clients are billed in advance, meaning that an invoice is issued at the start of the billing cycle for the number of hours they need before the VA starts. Once the first billing cycle is complete, an invoice is issued every Monday. These invoices are payable online via debit or credit card. After a four-week period, clients can move to a monthly billing plan where they can then choose to pay via debit or credit card or via SEPA transfer.
